Welcoming Your New Tenants

Congratulations! You’ve successfully listed your rental property, screened your applicants, and selected a tenant to move in – Now What? Now it’s time to welcome your new tenants to their new home! Whether you’re a new landlord, or seasoned, keep reading to learn some tips on how we welcome our tenants to their new home.


1. New Tenant Acceptance Letter

Upon selecting our tenant from the pool of applicants, it is time to send an acceptance to your new tenants! We do this via email through a “New Tenant Acceptance Letter”. This letter is full of all of the information the new tenant will need to move in. It includes information on the property’s utilities, including the phone numbers to call for the tenant to switch them into their name before moving in. It also includes a full breakdown of the funds required to move in. We take this time to clairfy that the funds must be in the form of a cashiers check or money order. Lastly, we let them know that we will be scheduling a New Tenant Orientation to review the lease, which we’ll dive into next!


2. New Tenant Orientation

Within the New Tenant Acceptance Letter, we invite them to schedule an appointment for what we call “New Tenant Orientation”, which is a fancy way of saying “lease signing” and collecting of move in funds. Why do we call it New Tenant Orientation? It emphasizes the importance of the event. When I think ‘orientation’, I associate that with starting a new job. Orientation is a time where you learn all of the new information that you will need to be successful at your new job. The same goes at our meeting to sign the lease and other documents where a new tenant will learn the ropes on how to be a successful tenant. During this meeting, it provides us with another chance to get to know the new tenants and form a relationship. We can also have an open conversation about the lease items and any other questions that the new tenants may have. It goes without saying, we 100% recommend signing the lease documents in person! With this, you can have full control on ensuring that your tenants have a complete understading of the lease items.


3. Move In Day!

The new tenants have completed their orientation, submitted their move in funds, and switched the utilities into their name. At this final meeting, you will complete the move in walk through checklist with the tenants, hand over the keys, and answer any lingering questions. We also ensure that the new tenants have our tenant specific phone number to reach us for maintenance issues. We recently have been taking this meeting to the next level by also buying a flower arrangement for the new tenants as a housewarming gift and writing them a welcome card!
